What you will do
As an Administrative Assistant on the CV USA team, you will report to the Vice President of Complete Vehicle USA and be an important member of CV USA Management Team.
Responsibilities will include:
- Providing support to the leadership team to ensure that goals and objectives are accomplished, and operations run efficiently.
- Managing the leadership calendar, including organizing and scheduling meetings, sending reminders, organizing catering, and prioritizing sensitive matters.
- Formatting information for internal and external communication (emails, presentations, reports).
- Assisting in coordinating travel arrangements—foreign and domestic—for the management team.
- Completing accurate and detailed leadership department expense reporting and other departmental reports, as needed.
- Inputting orders and payments into the Enterpriser Buyer (EBD) system, serving as a back-up EBD key user, and maintaining accurate records of orders/purchases for audits.
- Performing special projects that require a combined knowledge of functional and administrative needs.

You are structured and well-organized, yet flexible to adapt to the changing nature of the leadership landscape. You demonstrate a high level of personal integrity and ability to handle sensitive and confidential information. Requirements
- Associate degree in Business Administration, Office Technology, or a related field
- 4 years of related experience in a corporate environment
- Experience supporting senior / executive management in an administrative capacity
- Advanced training in office administration and procedures
- Excellent written and verbal communication skills
- Strong coordination and organization skills
Preferred
- Experience with any of the following software used at Volvo: Microsoft Office, Microsoft Teams, SAP, EBD.
- Familiarity with the Volvo Group organization, administrative routines and systems
